Rooming/Passenger Lists
For overnight tours a rooming list is required 30 days prior to the initial date of travel. For tours that involve rail or marine transportation a passenger list is required 30 days prior to the initial date of travel.
Meals
Meals are included in most day and overnight OFC packages (where indicated). OFC can provide plated meals, meals with entertainment, box lunches and hot and cold buffets. Menu selections for any meals included in any day or overnight package will be made in advance by OFC will be provided with the final itinerary. Final meal counts are typically due 7 days prior to each meal function listed.
Transborder Tours
For transborder tours a passenger manifest is required 45 days in advance of the travel date listing tour participants and their home contact information. For tours inbound to Canada special declaration forms will be required and will be provided by OFC. OFC will provide information regarding transborder regulations and forms for both the US and Canada (see web site section entitled Travel Tools) but OFC will not be responsible for delays caused by inadequate documentation.
Prices
Tour prices are negotiated at the time of contract signing. Unless otherwise noted, OFC packages prices include escort or step on guide services. OFC day and overnight tour prices which include motorcoach transportation are normally based on 20 persons on a 24 passenger coach, 40 persons on a 47 passenger coach or 50 persons on a 56 passenger coach (depending on the overall group size).
Tour Structure
Ontario’s Fun Connection will attempt to the best of its availability to supply services as described in the tour contract. If such services and accommodations cannot be supplied due to causes beyond the company’s control, Ontario’s Fun Connection assumes no responsibility or liability. In the event of a requirement for change in the structure or components of a tour Ontario’s Fun Connection undertakes to use its best efforts to supply other services and accommodations, which, to as great a degree as possible, will be comparable to those outlined in the original contract.
Payments
Unless otherwise noted, deposits are required to confirm tour arrangements at least 90 days prior to the initial date of travel. Specific activities within certain packages (e.g. theatre performances, specialized transportation, etc) may require a more advanced deposit payment schedule. For day and overnight tours final payment is normally required 30 days prior to the tour start date. Ontario’s Fun Connections accepts organizational cheques (with advance notice) or credit card payments on Visa and MasterCard. Cheques are to be made out to Ontario’s Fun Connection. Payments are to be made through the organization that has contracted OFC’s services.
Cancellation
A cancellation fee may be assessed if cancellation notice is received less than 30 days prior to the date of travel. Ontario’s Fun Connection reserves the right to cancel, alter or modify any part of any tour in sole, absolute discretion for any reason whatsoever, with or without prior notice to the passenger. The passenger or its agent waives any claim against Ontario’s Fun Connection for loss, damage or injury for any reason whatsoever caused or incurred as a result of the rendering of any of the services in any portion of this tour.
Terms and Conditions
Individual terms and conditions for each OFC tour are noted on each tour contract and are subject to change depending on the specific needs of each tour.
Complimentary Packages
Complimentary packages for organizational escorts are normally provided on the basis of one complimentary package for every 35 paid passengers. For educational and other specialized tours that have different escort to passenger ratio requirements , the number of escorts will vary and be identified within the individual contract
Loss or damages
Ontario’s Fun Connection shall not be responsible for any loss, damage or injury whether physical or mental, resulting from any delay, substitution or equipment, or any act, omission, negligence or commission of any party supplying any of the services or accommodations herein, its agents, servants, employees, sub-contractors, for any additional expenses caused thereby, and the passenger thereby expressly waives any claims for such loss, damage or injury physical or mental, arising there from or from any cause that arises by reasons of actions of parties other than Ontario’s Fun Connection.
Refusal of Service
Ontario’s Fun Connection reserves the right to decline any passenger as a member of any tour at any time.
